Information we receive
A participating Center may provide a child’s first name, the shortest useful last-name prefix, classroom, and up to two family email addresses. We do not ask the Center to provide full surnames, birthdays, home addresses, phone numbers, allergies, child photographs, or child recordings.
Roster spreadsheets, documents, and photographs are read on the director’s or authorized teacher’s device. The source file or photograph is not uploaded to Melodic Motion. Only the approved minimal roster fields are sent after the adult reviews them.
For adult account holders, we process login and verified email information, account role and Center relationships, consent or authorization records, support and security records, and parent device-session records used to limit account sharing.
How we use information
- Connect an adult family account to the correct enrolled student and Center.
- Show family material only after the child’s classroom completes a lesson.
- Send the Family Connection Guide chosen by the Center or teacher.
- Let authorized staff manage classrooms, rosters, and family connections.
- Protect accounts, prevent misuse, provide support, and maintain required records.
Lesson history records which rostered students were in a classroom when a lesson was completed. That snapshot helps the Center understand which children participated and preserves an accurate record when rosters later change.
What we do not do
We do not sell children’s personal information. We do not show advertising, use behavioral advertising, build advertising profiles, or use third-party analytics trackers in the portal. Children cannot post, upload media, message other users, or make their information public.
Service providers and disclosure
We disclose information only as needed to operate and protect the service, respond to a verified request, comply with law, or protect safety and legal rights. Operational providers include Supabase for authentication, database, file storage, and server functions; Resend for transactional email; and Cloudflare for website delivery. These providers process information for Melodic Motion’s service operations.
Retention
When a student leaves the roster, the student’s personal roster identity is scheduled for deletion after 30 days. Retained lesson history then displays “Former student” instead of the child’s name. Invitations and access codes expire. Security, consent, authorization, delivery, and required business records may be retained when reasonably necessary to document choices, protect the service, resolve disputes, or comply with law.
Adult and Center authorization
A parent, legal guardian, or adult caregiver authorized by the family must accept the current notice before connecting to a child or opening family lesson material. A Center director must confirm that the Center is authorized to provide the minimal roster and family contact information before the Center account activates. Families who connected before a new notice is released must review the current notice at their next sign-in.
Family choices
An adult parent or guardian can ask to access, correct, or delete child information, or withdraw consent, using the privacy controls in the app or by emailing privacy@melodicmotion.com. We verify the adult and the relevant family relationship before releasing or changing information. Withdrawing consent ends family access but does not invalidate processing already completed.
Security and changes
Access is limited by account role and classroom assignment, and permissions are checked by the server. No system can promise absolute security, so we monitor access, minimize the information stored, and review the service before expanding beyond the pilot.
If this notice materially changes, the app will require the relevant adult to review the new version before family access continues.
